Library Acquisition Specialist – Edsel Ford Memorial Library, The Hotchkiss School, Lakeville, CT

Job Status: Full-time (40 hrs), Academic year (10 months)
Shifts: Monday - Friday 8:00 a.m. - 4:30 p.m. Must be available one evening per week and occasional weekends

POSITION SUMMARY: The Acquisition Specialist at the Edsel Ford Memorial Library acts as the primary facilitator and coordinator for library acquisitions including ordering and reconciling accounts. This person will perform a variety of technical and administrative tasks to support the purchase and rental of library materials, including print and electronic books. Interpersonal contacts will include library staff, students, faculty and School staff, and vendors. This position requires well-developed verbal skills to present and exchange technical or complex information. The Acquisition Specialist works independently subject to supervisory direction and guidance and must demonstrate analytical skills. They participate in staffing the library services desk, assist library patrons, and serve as a liaison to the School’s Business Office and Purchasing departments.

ESSENTIAL FUNCTIONS: Enters orders into the integrated library system and loads invoices for payment into the centralized online business system. Works closely with the Assistant Director to identify forms of payment and processes payment for all library materials and services. Monitors funds and open orders and tracks expenditures of the library budget and of selected endowed library funds; notifies Assistant Director of low funds. Investigates and resolve payment processing problems and discrepancies. With the Assistant Director, engages in vendor communication to place orders, clarify order status, and make payments. Initiate, troubleshoot, and maintain workflows and procedures. Run reports related to funding accounting and other acquisition functions as assigned. Annually prepare special funds reports and acquisitions lists for stewardship letters. Prepare monthly budget reports for Assistant Director and Director. Liaise with the Business Office and Purchasing Department to ensure the Library’s purchasing and financial procedures follow School-wide best practices. Order library supplies as needed. Staff library services desk as assigned, to assist library users with questions and requests. Engage in continuous learning to adapt to the changing needs of the School and the Library. Other projects, tasks, and administrative support as needed.

QUALIFICATIONS: A bachelor’s degree from an accredited college. A positive attitude and professional demeanor: friendly, diplomatic, and adept at customer service. Excellent communication, organizational, and writing skills. An ability to work independently as well as in a team structure. Attention to detail and precision. Ability to work effectively with colleagues, faculty, and academically motivated adolescent patrons. Proficiency in the use of computers and office productivity software, particularly spreadsheets. Preferred: Proficiency with automated systems and several electronic vendor platforms to place orders, process invoices and track materials expenditures.
